Job Description

As a Project Manager primarily for Discover Delicious with broader responsibilities for trafficking workflow through the agency, you hold an important position within the agency. You will be reporting directly to an Account Director and will be the interface between nominated clients (currently Discover Delicious) and internal agency departments, working with the project owner to manage suppliers, ensuring smooth, efficient and profitable delivery of agreed communications work streams.

Your trafficking responsibilities require you to effectively manage work in and out of the creative team on time and within the allocated budget allowance, identifying freelance resource as needed and ensuring all sign-off processes are adhered to.

Project Management Specifics

Delivering internally approved projects on time and on budget is essential for AUK’s reputation. As an important member of the Client Services team, the Project Manager will share responsibility for the agency’s output, including:

Prioritising and trafficking work streams

Ensuring the agency is running effectively means not only making sure the creative team is fully employed, but that work is properly trafficked in and out of the schedule. You will be responsible for arranging a weekly scheduling meeting with the client services & social/PR team to plan resources for the coming period. You will also be required to dedicate time at the beginning, middle and end of the day to check that projects are on track.  You will be responsible for maintaining the workflow schedule in Google Sheets on a daily basis, amending to reflect changes as they occur and feeding implications back to the project owner.

External resource booking

You will be responsible for identifying freelance requirements in good time (creative and tech) and work with internal teams to agree the specific resource, agreeing budgets with the internal project owner who will make sure the freelance booking form is approved by a Director before raising a PO on the job.

Brief management

Clear and concise written briefs are vital if work is to be delivered efficiently. You will ensure that all work allocated to the creative team, a freelance or any 3rd party supplier is accompanied by a written brief (generated by the project owner) that details what is required, has a job number, an agreed time allocation and deadline. The project owner will ensure all briefs should be signed off by the project owner and the head of department (CSD or Senior Strategist or Social & PR Director).

Quality assurance

Work should not leave the agency without being signed off internally. You will ensure that all creative work that leaves the studio is approved by the creative team and that all studio checks have been carried out in accordance with existing agency processes before being handed over to the project owner, which in some cases will be you.

Timing plans

You will be required to review and update the project timing plans for individual projects as well as large scale deliveries encompassing multiple work streams over a number of months. This is to ensure they reflect the time allocated in the schedule or estimated by 3rd party suppliers. These will be originated by project owners and approved by you before sharing with clients.

Client meetings / status reports / contact reports / budgets & estimates

As the Project Manager for Discover Delicious, you will be required to prepare for meetings and support the transparent communication of project status at all times.

Overall client satisfaction

It is the responsibility of the Project Manager along with all client-facing personnel to ensure complete client satisfaction or report any reasons why client dissatisfaction might be an acceptable outcome. AUK does not always offer clients everything they want, we work in the dual interest of client and agency and building an open and honest relationship based on sound commercial principles is a basic requirement for this role.

Person specification

You will be degree educated in a relevant subject.

You will have worked in a busy commuications/marketing agency for at least 3 years and have experience already as a project manager as your full time role or as part of your current function within a client services role such as general account management.

You will have experience of managing digital projects end to end.

You will have experiene of working with e-commerce companies and platforms.

You wil be comfortable with being the primary contact between AUK and the client.
