Job description

We are looking to expand our growing Account Services team and hire an Office Administrator. The successful candidate will have the opportunity to be working alongside project teams helping to maintain production on time and on budget through to delivery.

The position will include the following responsibilities:

  • General day to day admin support, ensuring the smooth running of both Harleys offices
  • Working at both our HQ and Studio offices to maintain & support key links between teams
  • Answering the telephone to take accurate messages, deal with general enquiries and transfer calls
  • Assistance to ensure projects are running on time and on budget, from brief to delivery
  • Liaise with suppliers, confirm logistics and obtain quotations
  • Gathering relevant support information and help plan resource to meet demand
  • Keep excellent lines of communication open on project progress, as well as identifying any potential issues
  • Monitor and update project status’ and deadlines using our in house management system
  • Weekly reporting to the management team
  • Take pride in our offices, keep the working environment clean and tidy, take turns making tea and washing up etc.
  • Maintain stock and facility levels
  • Other duties may occur as the role develops

The successful candidate will excel in the skills below:

  • 1-2 years experience with administration in an office/agency environment
  • A natural organiser, with great time management, the ability to multitask and on occasion mind-read!
  • Self-motivated with the ability to work as part of a close team as well as independently
  • Proactive ‘can do’ attitude, initiative is crucial
  • Excellent written and verbal communication skills
  • Very high attention to detail
  • Proficiency with Microsoft Office packages, Excel in particular, and be willing to learn internal computer systems
  • Managing daily, weekly and long term workflow
  • Ability to audio type would be beneficial, but not essential
